Before the start date  8 items

  • Confirm start date, role and manager
    Get it in writing from HR. The role decides which access group they land in.
  • Create the user account
    Create in your directory and add to the groups matching their role, not copied from a colleague.
  • Assign a licence
    Check a licence is actually free before the start date rather than on the morning.
  • Order or allocate hardware
    Laptop, dock, monitor, headset. Record the serial against the person so ownership is traceable.
  • Build and enrol the device
    Enrol in device management, apply the baseline policy and confirm encryption is on.
  • Set up mailbox and calendar
    Include shared mailboxes and distribution lists their role requires.
  • Request application access
    List the line-of-business apps for that role and raise access requests early — these are the ones that take days.
  • Prepare credentials handover
    Decide how the first sign-in and MFA enrolment will be delivered securely.

Day one  4 items

  • Hand over the device
    Confirm the serial matches the record before they walk away with it.
  • Walk through first sign-in
    First login, password change and MFA enrolment done with them, not emailed at them.
  • Confirm access works
    Have them open email, the file shares and each core app while you are still there.
  • Show them how to get help
    Where the portal is, how to raise a ticket, what the response times are.

First week  3 items

  • Check in on access gaps
    Anything they could not reach in week one is usually a group membership that was missed.
  • Confirm backup and sync
    Their documents are syncing and covered by backup, not sitting on a desktop.
  • Close the onboarding record
    Confirm every asset is recorded against them before closing.
