Serious IT management on a nonprofit budget

Vertask gives nonprofits a real help desk and equipment register without a licence bill: a free plan that stays free, pricing that only counts the people doing the work, and the records your funders and auditors ask for.

The IT budget is whatever is left over

Nonprofits run on donated hardware, part-time staff and volunteers — then get asked to account for all of it. The tooling usually costs more than the problem.

Donated kit, no paper trail

Equipment arrives from three different donors, gets handed to whoever needs it, and nobody can say later where any of it went.

Everyone is a user, nobody is IT

Staff and volunteers need support, but you cannot justify a licence for every person who might raise a request.

Funders want evidence

Grant reporting asks what was bought, what it was used for and what condition it is in — usually at the worst possible moment.

Built to run on almost nothing

A free plan that stays free

  • Not a trial — the free plan does not expire
  • Ticketing, knowledge base and client management included
  • An AI assistant included, with a daily request allowance
  • Upgrade only if and when you actually outgrow it

Only pay for people doing the work

  • Pricing counts agents — the staff who resolve requests
  • Staff and volunteers who only raise and follow requests use the portal
  • Portal users do not consume a paid seat, however many you have
  • A two-person IT function can support an organisation of hundreds

Every donated item accounted for

  • Record each device with its donor, condition and value
  • A permanent custody trail every time equipment changes hands
  • Warranty and age tracking so replacements are planned, not panicked
  • Group equipment by programme, site or funding source

Reports funders accept

  • Equipment inventory and age reports for grant returns
  • Ownership-change history when an item has to be traced
  • Support volume and response times to evidence capacity
  • Export to CSV or Excel and attach it to the return

Works for a volunteer workforce

  • Volunteers sign in with just an email address — no password to reset
  • A knowledge base so common questions answer themselves
  • Restrict what each group of volunteers can see
  • Onboard and offboard people quickly as they rotate

Grants, leases and agreements

  • Track funding agreements with their start and end dates
  • See what is expiring before it lapses
  • Store the signed documents against the agreement
  • Record spend against what was budgeted

A donated laptop, tracked properly

1

It arrives

Record the device, its donor, its condition and its value. It now exists as a record, not a note in an inbox.

2

It gets issued

Assign it to a member of staff or a volunteer. That handover is on the record from the moment it happens.

3

It gets supported

Every request about that device attaches to it, so its history travels with the equipment.

4

It gets reported

When the funder asks what happened to the grant-funded equipment, the answer is an export, not an afternoon.

Who it’s for

The person who is also IT

Usually doing three other jobs. One place for requests, equipment and documentation, set up in an afternoon.

Operations & finance

Equipment registers, agreement renewal dates and spend records that stand up in an audit.

Programme leads

See what equipment a programme holds and raise requests without needing a licence.

Frequently asked questions

Is there a nonprofit discount?

There is no separate nonprofit price — but the free plan is genuinely free and does not expire, and paid pricing only counts agents. For most nonprofits that works out cheaper than a discounted per-user licence, because the staff and volunteers who simply raise requests never consume a paid seat.

How many people can use it on the free plan?

The free plan covers a small number of agents — the people resolving requests. Staff and volunteers who raise and follow requests use the portal, which does not count against that. Current limits are on the pricing page.

Can we track equipment that was donated rather than bought?

Yes. Record each item with its donor, condition and value alongside anything you purchased. Every reassignment writes a permanent record of who held it and when, so an item can be traced years later.

Can we produce reports for our funders?

Yes. Equipment inventory, age and ownership-change reports, plus support volume and response times, all filterable by date range and exportable to CSV or Excel to attach to a grant return.

Do our volunteers need training?

They sign in with an email address and a one-time code — no password to forget or reset, which matters when people rotate. What they can see is controlled by the groups you put them in.
