Add sections and objectives

Organize a workbook into sections and add the rows (objectives) inside them.

Add a section

  1. Open the workbook in the Publisher (Configure).
  2. Type a name in the New section name box and click + Add Section.
  3. Reorder sections with the up/down arrows on each section header.

Add an objective (row)

  1. Click + Add Objective on the section.
  2. Fill in the template fields (Control #, Category Name, and so on), then save.
  3. Reorder rows with the arrows, and use the row's ··· menu to Edit or Delete.

Configure workbook fields

Define the columns that every row in a workbook will have.

  1. Open the workbook in the Publisher (Configure).
  2. Choose Actions > Fields.
  3. Under Add a field, enter a Label, pick a Type and a Role, then click Add Field.

Field types: Single line (short text), Paragraph (long text), or Dropdown (a fixed list of choices).

Field roles: Template (publish) is reference data you set once when authoring and that shows read-only in the Portal; Entry (filled in portal) is a blank your team completes on each row.

Use the Order arrows to set column order, and Edit or Delete to change or remove a field.

Create a new workbook

Build a new workbook from scratch — or let Insight AI draft one for you.

  1. Open Workbooks, then click the Publisher Portal link in the right sidebar to open the Publisher.
  2. Click + New Workbook.
  3. Enter a Name and, optionally, a Description, then click Create.
  4. On the Configure screen, define your fields, add sections and rows, then set the status to Active to publish it to the Portal.

Shortcuts: have Insight AI generate a whole workbook by describing what you need, Import a workbook from a previously exported file, or Clone an existing workbook as a starting point. Deleted workbooks can be restored from Trash.

Export a workbook

Download a workbook for review, sharing, or backup.

  1. Open the workbook.
  2. Click Export at the top-right.
  3. Choose a format:
    • Excel (.xlsx, formatted) — a styled spreadsheet for review or an auditor.
    • CSV (spreadsheet) — raw tabular data for other tools.
    • JSON (full backup) — a complete backup of structure and entries; this is also the format you can re-import in the Publisher.

Export is also available in the Publisher under Actions > Export.

Fill in a workbook and set status

Complete a workbook's entry fields and mark each row's progress.

  1. Open the workbook and expand the section you want to work on.
  2. Find the row (use the Filter rows in this section box to narrow the list if needed).
  3. Set the row's Status dropdown to Not started, In progress, or Completed.
  4. Type into the entry fields — for example Responsibility, MSP Responsibility, OSC Responsibility, and Notes.

Changes save automatically as you go. The row's status badge and the workbook's progress totals update immediately.

Filter and search a workbook

Narrow a workbook down to the rows you need.

  1. Open the workbook.
  2. In the right sidebar under Filter by status, choose All, Not started, In progress, or Completed — each option shows a running count.
  3. To search within a section, expand it and type in the Filter rows in this section box to match by text.

To search across every workbook instead of within one, use the search box on the main Workbooks page — it matches names, sections, fields, and entered values.

Link a workbook to a contract

Attach a workbook to a contract as a pre-renewal checklist.

  1. Open the contract.
  2. Find the Pre-Renewal Checklist and click Link Workbook next to it.
  3. Choose the workbook you want to attach.

The linked workbook then travels with the contract, so its checklist is on hand ahead of renewal.

Manage workbook access and details

Rename a workbook, edit its description, or control who can use it.

  1. Open the workbook in the Publisher (Configure).
  2. Open the Actions menu near the top-right.
  3. Choose Edit details to change the workbook's name or description.
  4. Choose Manage access to control who can see and use the workbook.

The same Actions menu also provides Fields (column setup) and Export (Excel, CSV, or JSON).

Open and browse a workbook

Open a published workbook and move around inside it.

  1. Click Workbooks in the left navigation.
  2. The Portal lists every Active workbook as a card showing its section count and number of entry fields.
  3. Type in the search box to filter workbooks by name, section, field, or any value already entered in a row.
  4. Click a workbook card to open it.
  5. Click a section header to expand its rows; click it again to collapse.

Each row shows read-only reference (Template) fields — such as Category Name, CMMC Control, Control Statement, and Assessment Objective — alongside the entry fields your team fills in. Only workbooks set to Active appear here; if one is missing, check its status in the Publisher.

Set a workbook's status (Active or Inactive)

Control whether a workbook is visible and fillable in the Portal.

  1. Open the workbook in the Publisher (Configure).
  2. Click the Status menu near the top-right.
  3. Choose Active to publish it (visible and fillable in the Portal) or Inactive to hide it while you draft.

Once a workbook is Active, use Open in Portal to jump straight to the live fill-in view. Inactive workbooks do not appear in the Portal list.

Track workbook progress

See how far along a workbook is at a glance.

  1. Open the workbook.
  2. Check the Progress panel at the top — it shows a completion bar with live counts of Completed, In progress, and Not started rows, plus an overall percentage.
  3. Look at each section header for its own done / in-progress / not-started tally.

These figures update automatically as rows are completed, so the panel always reflects the current state.
